If you're organising a sprawling outdoor event for the first time, you'll want to consider how to present your paying guests with the best experience. You know that they may not be able to see all of the action from their individual vantage point, so you'll want to take advantage of the latest technology and introduce a giant LED screen. You may have seen these in action in other major events and know that they can represent the best of all worlds to an event organiser. After all, your guests will be able to watch proceedings as if they were sitting at home while indulging in the live atmosphere at the same time. Still, there are many elements to take into consideration before you rent one of these screens, so what do you need to think about?
Firstly, you need to determine where you are going to place the screen in relation to the vast majority of your viewing audience. The further away the screen is, the bigger it will need to be. You can rent screens from as small as 2 metres to as wide as 20 metres.
You will also need to consider the quality of the picture, and this will be determined by the number of pixels in the equipment. This is measured by the pixel pitch, which is the distance between two pixels on the video board. You now need to determine how far away your viewing audience is, as those that are too close may not be able to determine a clear image. As a good rule of thumb for a major outdoor event, choose a pixel pitch of up to 10 mm and a minimum required viewing distance of 6 or 7 metres.
Mobile or Modular?
The screen itself must, of course, be supported by an adequate structure, which will be either mobile or modular. Modular panels are typically a group of smaller LED tiles that are fitted into an aluminium frame. Mobile screens, on the other hand, are typically mounted to a vehicle and are much easier to move from point to point. They are also more cost-effective than the modular alternative, although you may face restrictions when it comes to the actual presentation due to the limitations imposed by the vehicle. If you want to go all out, then you can build a modular wall to a customised shape and really impress your guests.
As this is your first time staging an event like this, you should talk with your LED screen hire provider carefully before you choose. They will be able to give you some advice from past experience to help you make your event a resounding success.
